Do you have excellent organizational skills and wish everyone would let you organize their life for them? Do you enjoy working with spreadsheets and making sure that everything lines up and balances? GeoFurnace Heating & Cooling of Traverse City, MI is looking to hire a full-time and a part-time Office Manager to help keep our HVAC business flowing. The full-time HVAC Office Manager salary will start at $14-$17/hr, depending on experience. And, the part-time position will start at $12-$16/hr, depending on experience. We also offer our full-time employees holiday and personal time off, health insurance, and a simple IRA.


GeoFurnace is northern Michigan's premier residential HVAC company. We are locally owned and operated with over 25 years of experience making thousands of homeowners more comfortable, no matter the season, while helping them keep their energy costs down. We work with all types of heating and cooling systems, including geothermal options. We also perform energy audits and provide solutions which include closed cell foam & various other types of insulation.

As the Office Manager, you are the "go to" person for our company. A lot of information flows through our office and you have your hand in almost every aspect of our HVAC company. We rely on the information that you enter and the resulting reports to be correct. You spend much of your time at the computer entering vendor bills, customer billing, banking, payroll, etc. You are the gatekeeper of details! No figure, no matter how small, gets by you without being checked, double checked, and recorded in the right place. Employees and clients alike depend on you for accurate information!

You handle accounts receivable and accounts payable. You take care of all customer billing, including lien waivers when applicable. You make account reconciliations of bank accounts, vendor accounts, loans, etc. You record customer payments and make deposits. You enter vendor bills and code for specific jobs and company classifications.

You also accomplish many of the administrative tasks involved with employee management. You complete Payroll through ADP. You enter time cards and code according to specific jobs. You figure commissions, expenses, and other related data to enter into payroll. You keep track of leads and assign them to our sales staff. You make automobile and equipment assignments and keep track of them. You conduct insurance audits. Your accuracy and timeliness are appreciated by your fellow employees!

As the Office Manager, you also manage the office as a whole, using your amazing organizational skills to keep everything running smoothly and efficiently. You keep files in order, streamline operations, and keep on top of updating and maintaining our equipment. You set up computer equipment and programs. You keep our paperless office setup going. You enjoy keeping busy with a variety of tasks throughout the day and get great satisfaction out of ensuring that the administrative side of HVAC work is taken care of accurately and on-schedule!


  • Ability to use ADP human resources management software
  • Comfortable with QuickBooks
  • Proficient with Microsoft Office
  • Tech/computer savvy (part-time position)
  • Basic math skills
  • Basic bookkeeping and accounting skills

Experience in the HVAC industry or the construction industry, in general, would be a plus! Do you have excellent communication skills, both written and verbal? Are you self-motivated and able to work independently? Do you have excellent time-management skills? Are you detail-oriented and able to keep track of multiple tasks at a time? Are you dedicated to accuracy? Can you function efficiently under deadlines? Are you discreet with confidential information?  If so, then you just might be perfect for this position!


We are looking to hire both a full-time and part-time employee to cover this position. The full-time Office Manager/Bookkeeper would work from 8am-5pm on Monday through Friday and handle the bulk of the office management and accounting tasks. The part-time Office Manager/Bookkeeper's schedule is not yet set and there could be some flexibility. But this individual would definitely cover for the full-time Office Manager/Bookkeeper when he/she is off and probably specialize in maintaining our computer equipment and programs.
